Introduction

The Exchange Online gives you access to your Pace calendar via a web browser.

Customize Calendar View

Exchange Online offers multiple ways to view your appointments in your calendar.

  1. Click Calendar iconCalendar icon at the left side of the screen

  2. Select from the 4 views listed at the top of the screen
    4 views
    • Day - Single day appointments shown by the hour
    • Work week - Shows appointments Monday through Friday
    • Week - Shows appointments Sunday through Saturday
    • Month - Shows appointments for month
       
  3. Further filter the view as needed
    • Example of Month view:

Add an Appointment

  1. Select a date from the calendar

  2. Click New event

  3. Type a title of the appointment in the Title field

  4. Type the location of the appointment in the Location field

  5. If needed, type the email address or name of the Pace University user who is attending the meeting in the Invite Attendees field

    • Note:
      • When typing the name of the Pace University user, you will see an option to search within Pace's Global Address List. A selection can be made from the listed contacts.
      • By adding an attendee to the appointment, a meeting request is created. An email invitation will be sent to all participants when clicking the Send button.
         
  6. Select the start date, time, and duration of the appointment
    date
  7. Select how the appointment should be shown as on the calendar
    busy
  8. Select when you would like to be reminded prior to the appointment
    reminder
  9. If appointment needs to repeat, select the appropriate duration
    never
    • Note: Based on the duration choice, other options will appear to correspond with the selection
       
  10. If appointment needs to be visible only to the owner when a calendar is being shared with others, click Private

  11. Type the message to appear in the calendar appointment
    text
  12. Click Send or Save at the top of the screen

Use Scheduling Assistant

The scheduling assistant will show you the free and busy times of all attendees in a meeting.

  1. Create or open an existing appointment

  2. Click Scheduling Assistant at the top of the screen

  3. Type the email address or name of the Pace University user who is attending the meeting
    attendees
    • Note: All attendees should be added to the list in order to see a merge calendar view of every one's availability.
       
  4. Select the date and time from the calendar which shows as being available
    date and time
  5. Click Save at the event tab
    ok

Share a Calendar

Sharing your calendar with others in the University allows them more access to your calendar information.

  1. Navigate to the calendar pane located left side of the screen

  2. Hover over the desired Calendar and click the ellipsis icon

  3. Select Sharing and permissions

  4. Type the email address or name of the Pace University user you would like to share the calendar with
    share with
  5. Select the level of access for the calendar
    full details
    • Can view when I'm busy - See free and busy times
    • Can view titles and locations - View subject line of appointments
    • Can view all details - Read only appointments
    • Can edit- Can change meetings
    • Delegate - Full access and be able receive your meeting invitation
       
  6.   Click Share

Add a New Calendar

Create new calendars separate from your main calendar.

  1. Navigate to the calendar pane located left side of the screen
    calendar
  2. Right click My calendars or other calendars
    my calendars
  3. Select New calendar group
    new calender
  4. Type the desired name of the calendar and press Enter on the keyboard
    enter
