Introduction
Pace University has launched a new set of university-approved Google AI tools for current students, staff, and faculty: Gemini app and NotebookLM. These powerful tools can help you leverage advanced AI to enhance academic inquiry, streamline research, and foster deeper engagement with course materials. Just log in to your Google Workspace with your Pace credentials and get started (see Instructions section below).
IMPORTANT: Google has provided Gemini and NotebookLM to Pace University at no cost, but access can be revoked at any time. Google imposes usage limits on certain product features. The use of Google Gemini and NotebookLM is governed by the Google Cloud Terms of Service and Google’s privacy policies and controls. Google states that chats and uploaded files “won’t be reviewed by human reviewers or otherwise used to improve generative AI models.” However, the University does not have a formal agreement with Google for these services. Therefore, use of Google's services to analyze, store, or process personally identifiable, sensitive, regulated, health-related, or confidential information is strictly prohibited.
Notes:
- Use of Google Workspace, Gemini app, and NotebookLM, is governed by the IT Appropriate Use Policy, Academic AI Policy, and policies and procedures stated in the Student Handbook.
- Pace University’s Google Workspace subscription only includes access to Gemini app and NotebookLM. For other communication, collaboration, or productivity tools, the university uses Microsoft’s Office 365 Apps, Email, Calendar, and OneDrive.

Gemini app is an AI-powered assistant designed to accelerate your academic and administrative workflows. It can help you research topics, brainstorm ideas, and draft or summarize complex content. Beyond text, Gemini app can write or debug code across dozens of programming languages and generate images to support your projects, all within a workspace environment that prioritizes your data privacy and security.

NotebookLM is an AI-powered research and note-taking assistant that helps you synthesize complex information. You can upload your own materials—such as lecture notes, research papers, PDFs—or provide links to relevant online resources to build a secure, grounded knowledge base. NotebookLM allows you to interact directly with your materials to generate summaries, study guides, and engaging audio overviews, all while providing clear citations to ensure accuracy and academic integrity.

Instructions
You can access the Gemini app or NotebookLM through your Pace Google Workspace.

On your browser, go to: https://workspace.google.com/dashboard

On the Choose an account screen, click Use another account
Note: If your Pace.edu email account is displayed, just click it and go to step 4.

Enter your Pace email address and click Next (This will redirect you to the Pace login screen.)

Enter your Pace Portal password and click Sign in

When prompted, enter your Duo MFA passcode and click Verify (What is Duo MFA?)
Note: You may get a pop-up asking "Do you trust pace.edu?" If so, click Continue.

If prompted, review the Permissions requested window, then click Accept

On the Welcome to your new account window, review the terms and click I understand (at the bottom)

Your Google Workspace will then display with the Gemini app and NotebookLM icons. Click either one to use the tools.
