Qualtrics Surveys: Updated Email Settings for Distribution

Introduction

In order to meet new bulk email distribution requirements and prevent emailed surveys from getting caught up in spam filters, the previous default (non-Pace) email account linked to Qualtrics surveys has been replaced with a new default Pace email account and sub-domain. The From Address field in all new Qualtrics surveys now displays “noreply@mail.pace.edu” as the sender. This new default account has been configured to allow sending of bulk emails and meets the updated requirements. When paired with another @pace.edu account in the Reply-To Email field, it should help prevent any potential spam filtering issues.

Explanation

When setting up your surveys for bulk distribution, we recommend the following guidelines:

  • Official Surveys Sent by a Department:
    For departmental surveys, if the department has an existing @pace.edu departmental email account (i.e., a shared mailbox), they can insert that account in the Reply-To Email field. Please note that a different @pace.edu departmental account should not be inserted into the From Address, since it is not configured for bulk distribution, per the new requirements. 

    If the department prefers to show their own customized account in the From Address field, staff may request a customized @mail.pace.edu departmental account for this purpose (e.g., surveytopic@mail.pace.edu or department@mail.pace.edu), which can then be used in both the From Address and Reply-To Email fields. If needed, please fill out and submit the Departmental Email Account Request form to request an account with this subdomain.

  • Individual Surveys Sent by Students, Faculty, or Staff:
    For individual surveys, the sender should leave the default account in the From Address field and can insert their student, faculty, or staff @pace.edu account in the Reply-To Email field.

Note: The Reply-To Email field will not be functional and any direct email replies from survey recipients will not be returned to the sender. If you wish to collect email replies from survey recipients, we suggest you list a separate email address in the introduction or instructions for the survey. All submitted survey responses from recipients will be saved in Qualtrics.
