Introduction

Zoom AI Companion is a generative AI assistant integrated into the Zoom platform.

To get the best results in conjunction with AI Companion, keep in mind the following suggestions:

  • Review the AI’s work: This is first and foremost. The AI will do most of the heavy lifting for the meeting, but its work need to be confirmed for accuracy. It may misunderstand things.
  • Define Key Topics: At the start of the meeting, be sure to state the topics you will cover or review your agenda.
  • Tags: Begin discussions with a “Tag” or “Title” so its clear you have moved from one topic to the next. “Next let’s talk about item 2 on the agenda, Benefits”
  • Clear and Actionable Conclusions: Ending discussions with statements that do not need interpretation will help the AI provide accurate reports. For example “Sarah will complete the training program by the 15th”

Enabling Meeting Summary with AI Companion

  1. Log into http://pace.zoom.us with your Pace Username and password
  2. Click on Settings in the lefthand sidebar
  3. Click on the AI Companion tab

  4. In the Meeting section, click the toggle next to Meeting Summary with AI Companion to enable or disable Meeting Summary
    • Note: Blue means it is enabled; gray means it disabled
       
  5. To automatically generate a meeting summary for all meetings you host, select the checkbox next to Turn on meeting summary automatically when meeting starts.

    Sharing meeting summary after meeting is completed
    1. To send the full summary text directly in the email, select the checkbox labeled Send an email notification when sharing with users then from the drop-down menu chose Include summary text in the email
    2. Under the Automatically Share summary with section, select one of the following:
      • Only me (meeting host)
      • Only myself (meeting host)and Meeting invitees in our organization
      • All meeting invitees including those outside of our organization
    • Note: Meeting invitees only includes participants that were originally invited to the meeting, as participants joining the meeting ad hoc (through the in-meeting contact invitation or a sharing the join link) will not receive the summary.

  6. Click Save

The following options help provide AI model with additional information to improve accuracy:

  1. If needed, click the toggle next to Use screen share content with OCR and Use meeting chat messages

  2. If needed, click the toggle next to Auto-delete meeting summaries, and enter a specified time range for when meetings should be permanently deleted from Zoom.
  3. Click Save

Enabling Meeting Questions AI Companion

  1. Log into http://pace.zoom.us with your Pace Username and password
  2. Click on Settings in the left-hand sidebar
  3. Click on the AI Companion tab
  4. In the Meeting section, click the toggle next to Allow users to ask AI Companion questions about the meeting to enable or disable Meeting Summary
    • Note: Blue means it is enabled; gray means it disabled
       
  5. Check Automatically allow access when meeting starts if you want all future meetings to have AI Companion initiated at the beginning of the meeting
  6. Select your preferred access who has shared access to Ask questions to AI Companion
    • Note: The default is set to All participants only from when they join.
       
  7. Click Save

Using AI Companion Meeting Summary in a Zoom Call

Once you have enabled Meeting Summary with AI Companion, you will be able to select AI Companion icon from the Zoom task bar when your meeting has been initiated.

Starting AI Companion in your meeting

  1. Click on AI Companion icon on the Zoom task bar

  2. Click Start summary

    • Note: If you have other AI Companion features enables, you will see multiple options in this menu.
       
  3. An AI Companion icon will appear in the top-right corner of the Zoom window, indicating that an AI Companion feature is active in the meeting

To stop the Meeting summary with AI companion

  1. Click on the AI Companion icon at the bottom of the Zoom Window
  2. Click on Stop summary

Accessing AI Companion Meeting Summaries

After a meeting ends, Zoom AI Companion will email the host when the summary is completed. You can view all the meeting summaries you have access to by logging into Zoom.

  1. Log into http://pace.zoom.us with your Pace Username and password
  2. Click on Meeting Summary in the left-hand sidebar
  3. All your meeting Summaries are listed

  4. Click on the Topic of the meeting to view the summary.

  5. You can read the summary and have access to the following functionalities:
    • Share- Click the share button enter the email address of people you’d like to share the summary with
    • Edit – Click Edit to edit any section of the summary (AI-generated content maybe inaccurate or misleading)
    • Delete – Click to remove the summary altogether. This deletes the summary from Zoom


Enabling Meeting Questions in a Zoom Meeting

Once you have enabled Meeting Summary with AI Companion, you will be able to select AI Companion icon from the Zoom task bar when your meeting has been initiated.

Starting AI Companion in your meeting

  1. Click on AI Companion icon on the Zoom task bar

  2. Click Ask Meeting questions

    • Note: If you have other AI Companion features enables, you will see multiple options in this menu.
       
  3. An AI Companion icon will appear in the top-right corner of the Zoom window, indicating that an AI Companion feature is active in the meeting

  4. You now have the option of ask questions about the meeting

    • Note: You can choose from Zoom’s suggested questions, or you can type your own questions in the field in the Zoom window.
       
  5. You can choose who can ask questions in the meeting by selecting the settings icon on the Zoom window

To stop the Ask meeting questions with AI companion

  1. Click on the AI Companion icon at the bottom of the Zoom Window
  2. Click on Stop summary
