Exchange Online (Office 365): Shared Departmental Mailbox Setup for Outlook Mobile App

Introduction

Pace members who have been granted manager/owner access to a shared departmental account can add the account on their Outlook Mobile app (iOS or Android) so they can access the email and calendar content from the app.

Add a Shared Departmental Mailbox on the Outlook Mobile App

  1. Open the Outlook app and sign in to your Pace account.
  2. Tap the Profile icon next to Inbox

  3. Tap the Add Account button in the left navigation pane

  4. Tap Add a Shared Mailbox

    • Note: If you have multiple accounts on the Outlook Mobile App, select the Pace account that has permissions to access the shared mailbox.
       
  5. Type the email address of the shared departmental account and click Continue

    • Note: This is the email address for the shared mailbox you own or manage.
       
  6. The shared mailbox account will be added and can be accesses from the left navigation pane.

Access a Shared Departmental Calendar on the Outlook Mobile App

  1. To access the shared mailbox calendar, tap the Calendar icon at the bottom of the screen

  2. Tap the Calendar icon on top to open the navigation pane

  3. Check or uncheck the box for the shared calendar to view/hide contents

    • Note: Calendars can be combined or viewed separately by checking/unchecking their respective checkboxes.
       
  4. Swipe left to close navigation screen

Delete a Shared Departmental Mailbox on the Outlook Mobile App

Follow the steps below to remove a shared mailbox from the Outlook Mobile app:

  1.  Tap the Profile icon next to Inbox

  2.  Tap Settings icon on the bottom left of the navigation screen

  3.  Tap on the shared mailbox

  4.  Scroll down In the Account Info screen and select Delete Account and confirm when prompted
